As a branch or community administrator, you have the ability to create events on behalf of organizations in the community and bypass the additional questions that are asked regularly of your students or organizations. Creating an Event as a Community Administrator

As a community-wide administrator or a limited community administrator with full access to Events, you can create an event on behalf of any organization from the Admin view. Simply access Admin via your Switchboard, select the Events dropdown, and then select Event List.

Type in the name of the organization for which you would like to create an event. At the Admin level, this can be any organization or branch in the whole community. Select the organization, and then select Continue.

You will be rerouted through the Manage view for that organization where you can begin the event submission. You will only be required to put in the standard details of the event, and the event will be automatically approved upon submission.

Creating an Event as a Branch Administrator

As a branch administrator, navigate to Action Center through the Manage view of the Switchboard and select your administrative branch. Then, from the Branch Tools list, select Events List.

Then, select the blue Create Event button in the upper right hand corner. Type in the name of the organization for which you would like to create an event. At the Branch level, this can be any organization that is housed within that particular branch. Select the organization from the dropdown.

Similarly to creating the event from Admin, you will be rerouted through the Manage view for that organization where you can begin the event submission. You will only be required to put in the standard details of the event, and the event will be automatically approved upon submission.

What information is included in the Standard Event Details?

Use the table below for more information about the questions asked in order to create a new event (note: only the fields marked with a red asterisk in Engage are required to create the event).

Field Description
Event Title The full title of the event
Theme Associate the event with one of 9 standard event themes
Description The description of the event to appear on the Explore page for the event
Additional Co-hosting Organizations If applicable, identify any co-hosting organizations
Date and Time Select the starting and ending date and time for the event
Location Choose a location, and include an optional link to a map of the address
Show-To Determine whether the event should show to the public, authenticated users only, only members of hosting organizations, or only to invited users
Allow attendance at this event to be shown on the Co-Curricular Transcript Community-wide administrators only can determine if attendance at this event should be able to show on users' CCT. If you are creating an event and do not see this setting, it will default to the settings for the organization type.
Event Categories Associate the event with one or more event categories
Perks Associate the event with one or more event perks
Who can RSVP & Guests Determine who can RSVP for the event (Anyone, only invited users, or no one). If you identify that users can RSVP, you can also turn on the "Guests" feature, allowing users to identify if they plan to bring guests to the event.
Additional Information Complete any additional fields that may be required by your campus.

After you've entered the standard event details, click Next. You will then be asked if you would like to bypass the custom fields for that branch, or if you would like to move forward with filling them out. Select "Complete Event Submission" to bypass the custom fields, or "Continue to Custom Fields" if you would like to complete the submission in full to provide additional data. Regardless of which you choose, your event will be automatically approved at the end of the submission and you will be take to the Manage Event screen for the event.
