Engage provides a number of pre-built reports that you can export with the click of a button. As a community administrator, you have access to pull these rich reports, pulling information directly from your Engage community in an exportable, comma delimited (CSV) format. Read below for listed details about available reports and their content. Additionally, attached you can find a printable version of this list that also includes highlights for the most commonly accessed reports and their applications (created for Connect 2019). 

To access your reports, access the Admin view of your dashboard, select the Configure dropdown menu, and then select Reports. Select the "Choose Report" dropdown and select the report you would like to run. See the list of available reports and what information is included by clicking the report categories below:

Then, identify the criteria of information to include in your report. Use the filters provided for each report to further configure the type of report you are pulling. For example, depending on the type of report, you may also want to include demographic, enrollment, or additional fields in the report. Indicate if you'd like to receive notification when the report is ready to be accessed. Then, click Request Report.

Your report will now be listed on the main Downloads page, which you can access at the top of the page after you submit your report by clicking Downloads page. Your downloads page can also be accessed by going to your User Drawer and then clicking Downloads.

From your Downloads page, click on the download icon to the far right of the report. When your report has completed, the status will update to Report Ready within this table. If it's a larger report, it will have an "In Progress" status. These reports vary in size and complexity and may take several minutes to generate completely, but can be accessed at any time after the original report has been created. The data contained within the report, however, does not update every individual time the download is accessed. Instead, a new report must be generated to access new information entered into the system since the most recent version of the report was created.

List of Available Reports

Below you will find the name of each available report, a description, the fields included in the report, and the minimum level of Administrative Access needed to view that report. Note that All-Access Community Administrators have access to all reports. Limited Community Administrators will need to be given access to the resource involved in the report. For example, if a user needs to view a report that includes all organizations, they will need at least "Organizations View" access. 

Organization By Category

Description: Select an Organization Category and the report will list all organizations and supporting data contained in the specified Category (can include Additional Fields if selected)

Report includes: Organization Category, Organization ID, Organization Name, Short Name, Status, Website, Email, Address, Phone, Parent Org, Approved Service Hours. Primary Contact, # of Current Members, # of Past Members, Primary Contact, Primary Contact Email and all appropriate Additional Fields

Organization By Interest 

Description: Select an Organization Interest and the report will list all organizations and supporting data contained in the specified Interest (can include Additional Fields if selected)

Report includes: Organization Interest, Organization ID, Organization Name, Short Name, Organization Type, Status, Website, Email, Address, Phone, Parent Org, Approved Service Hours, Primary Contact, Primary Contact Email Address, # of Current Members, # of Past Members, and all organization profile Additional Fields

Organization Roster

Description: A list of all members for a specified organization during a specific date range

Report includes: Username, Card ID, First Name, Last Name, Campus Email, Preferred Email, Local/Mobile Phone, Org ID, Organization Name, Position Start Date, Position End Date, Last Login

Minimum Permission Level Required to View: Organizations "View"

Registration Progress

Description: A list of organizations with access to a specific registration and the progress of each organization’s submission

Report includes: Start and End date of chosen registration, Active status of the registration and if it is limited to positions, Organization ID, Organization Name, Organization Type, Organization Email, Status of Org’s submission (approved, pending, denied, in progress, not started), Primary Contact Name, and Primary Contact Email

Minimum Permission Level Required to View: Users "View" and Registration Forms "View"

Organization Directory

Description: A complete list of all organizations (can include Additional Fields if selected)

Report includes: Organization ID, Organization Name, Short Name, Organization Type, Organization Status, Website, Website Key, Organization Email, Organization Address, Phone Number, Branch, Approved Service Hours, Current Member Count, Past Member Count, Primary Contact, Primary Contact Email, Primary Contact Phone Number, Organization Categories

Service Hours By User

Description: Select a user and the report will display information about service hours for that user across all groups (can include Additional Fields if selected)

Report includes: Organization name, Date, Duration (in hours), Description, Verification Source, and Status

Services Hours By Organization

Description: Select an Organization and all service hour reports will display by all users in the organization

Report includes: Date, User Last Name, User First Name, Username, Duration, Description, Verification Source, Status. Email, Phone, Mobile Phone

All Events

Description:  A complete list of all events during a specified date range. Does not include submission data.

Description: Select an Organization, date range, and then a specific event to export a complete list of who attended the event along with any comments

Event Submissions

Description: Lists all submission data for Event Approval requests matching the defined criteria. Select Event Form and Date Range. You will also see an option to either view multiple submission dates for the same event in one row of the report (Condense), or to expand every individual instance into its own row within the export (Expand).

Involved Users

Description: Lists all users who hold a membership and/or position in the specified date range. Can select Active, Archived or All Students. Student personal reflections can also be included (can include Demographic, Contact, Enrollment and Campus Information Fields if selected)

Description: Lists the involvement history of a specific user. Can select Active or Archived Student List.

Report includes: Organization Name, Position, Position Type, Start Date, and End Date.

Description: Lists the users holding a campus-wide system position template during the selected time period. Select desired Position Template, Organization Category (or ALL), Current Members only, Start Date & End Date, and Active, Archived or all students. (can include Additional Fields if selected)

Description: List all users who have participated in the Path, breakdown of completion progress, and individual Domain progress defined by the specific criteria. Description: Lists all users who attended a certain number of events defined by the specified criteria. Select Any or All condition met, and then Add Criteria (Criteria includes: Participant attended X events where Event Name, Event Category, Sponsoring Organization, Organization Type were <campus option>.) Financial Account List

Description: A list of all accounts and their balances in the system

Description: A list of all finance requests during the specified date range
